Announcements:


Jim Roy announced that Alisia has given him new DVDs to record the meetings on. This should improve the quality of the recordings. Also, we now have 5 copies of each meeting available for circulation.


1. Survey results & 2010 meetings:
Ellen went over the survey results and the questions that were on the survey.

She discussed some of the responses to the questions such as meetings are too long, travel time, summer meetings and repeat information at cataloging meetings. Ellen explained that we try for a location that is more central for most people and a mid-morning meeting. We repeat information by design as we often have new people and because we do have many mistakes in the catalog.

The meetings for 2010 are as follows:

March 16, Falmouth Memorial Library
May 21, Bangor, Dyke Center for Family Business, Husson University
July 16, Augusta, Maine State Library
September 21, Falmouth Memorial Library
November 19, Bangor, Dyke Center for Family Business, Husson University

All meetings begin at 10 am and end by 12:30 pm.

2. Maine InfoNet Report: Alisia announced that Innovative will be upgrading to Upgrade “B” which will customize notices. She is not sure if there will be cataloging enhancements in the update. She also announced that they will be advertising to fill Tim’s position which they hoped to fill within 6 weeks. Alisia introduced Venice Bayrd who has been hired by Maine InfoNet, replacing Jonathan Williams.

3. Minerva Cataloging Standards Committee Report: Ellen reported on her Status Code cleanup. Jim reviewed that the requirements of 3 meetings or more being attended or viewed on DVD must be met by each Minerva Library.

4. “How to” Review: Ellen reviewed how to Import a Record from Z39.5 She also reviewed how to create a new record by using an existing record that is in the system or by bringing one in from Z39.5 and editing them. Please note that step by step instructions for importing records will be posted on the blog at http://minervacats.blogspot.com/.


5. Ellen explained how to use World Cat to verify OCLC numbers and told us that an OCLC record is preferred as they match better going into MaineCat. She explained again that if the number in the 001 field is not an OCLC number, remove it. To find out if it is an OCLC number go to worldcat.org and search "accession number". If the title is not listed in WorldCat this means that the 001 field on your record is likely to be invalid and you should delete it. OCLC numbers are usually a minimum of 8 digits unless it is an older bib record.

6. DVDs and Digital copies: Ellen explained what a digital copy is and that it is a downloadable copy available only to one user. Usually it is accessed by a code number on the paper that comes with the hard copy of a DVD. She told us not to catalog it.

7. Volume Numbers: Ellen discussed Volume Numbers. Three reasons to use a Volume number:
1. If an item is part of a set cataloged all on one bib record, i.e. World Book Encyclopedia.
2. If Graphic Novel series where every Volume has the same title and Each Volume has a number, i.e. b24238892, b2495150x.
3. If a Serial Record you must add the Year in a Volume field to the Record.
4. MultiPart DVD unit or Movie with bonus disc, i.e.b26951721

New DVDs: Add Volume Note. Starting Now. Always add a Volume Field Note if there is more than one disc in the container. Let other libraries know if they need to add one to their item. Do this on the listserv or contact Ellen.

Other things:
Jim discussed Large Print items from Maine State Outreach are in Millennium but can’t be circulated in Millennium.
